Hospitals and clinic networks are making huge investments in information technology and betting on big returns in productivity and materials cost savings. Unfortunately our research shows that, similar to ERP systems implementation across industry, the promise is very difficult to convert into actual returns.

Unlike many industry counterparts, however, healthcare provider organizations have tighter budgets and less experience in working through the maze that too often accompanies large-scale technology deployment.

The "Final Mile Syndrome"
With all of the time and money spent on customizing the software, building the technology infrastructure and training end users, healthcare organizations often fail to complete the “final mile” of technology implementation – true integration of the technology with work processes and individual job responsibilities. The result is too often slow utilization and adoption, increased input errors and high professional staff frustration.

The solution to the problem is surprising simple, but easily overlooked by healthcare executives new to the technology system game: Fix the process and redesign the work as you deploy! This common sense advice, however, is difficult to follow in the face of pressure to meet system deployment timelines.

 
 

Early Engagement of End-Users is Key
For one healthcare provider, Leap Technologies’ engagement methodology has proven to be a practical way to get the benefit of the “bits without the bite”. Using a customized combination of Leadership Jumpstart, Breakthrough and Rapid Action tools, we have worked with this client to integrate Lean, Six Sigma and Action Workout concepts into their Enterprise System Deployment Model.

Now end-users are engaged upfront and throughout the technology roll-out to ensure the last mile syndrome is anticipated and avoided. As a result, the cycle time to “Go Live” on new systems has been cut in half.

Based on our experience, here are a few of the key issues that an engagement-enabled technology system roll-out will uncover:

Ensuring the right people are entering patient data to avoid over-burdening revenue generating staff.
Avoiding the temptation to “over” customize scheduling rules and templates that result in actually restricting access for patients.
Identifying all of the system interfaces to deliver the right data to supporting applications and secondary users.
